Privacy Policy

1. Who we are

BookPlay is a white-labeled sports venue booking product of KhelTech Systems (“we”, “us”). This policy explains how we handle information when you visit www.bookplay.in, request a demo, or use the BookPlay application.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact details you send us (name, academy name, email, phone) when you request a demo or write to us.
  • Account and academy data if you subscribe — including owner and staff accounts, venue and slot configuration, and booking records needed to run the product.
  • Player and booking data that academies and their customers enter into BookPlay (for example names, contact details, slot times, and payment status). Academies control this data as part of their operations.
  • Usage and device data such as pages viewed, approximate location derived from IP address, browser type, and similar technical logs.

We do not take payment card details. Academies connect their own payment gateway; card and UPI data is handled by that provider.

3. How we use information

  • To respond to enquiries and provide demos, onboarding, and support.
  • To operate, maintain, and improve BookPlay.
  • To send service messages about your account (billing, downtime, updates).
  • To understand how the marketing site is used (see analytics below).
  • To comply with law and protect our rights and users.

We do not sell personal information. We do not use academy player data for advertising.

4. White-label and academy responsibilities

BookPlay runs on the academy’s brand and, where configured, the academy’s domain and email. Each academy is responsible for telling its players how it uses their data, obtaining any consents required under applicable law (including India’s Digital Personal Data Protection Act, 2023), and handling player requests that relate to the academy’s bookings.

We process academy and player data to provide the service to the academy. We do not use that data for our own marketing.

5. Sharing

We share information only as needed:

  • Infrastructure and email providers that host or send messages for the product, under contracts that restrict how they use the data.
  • Payment gateways chosen and configured by the academy — we do not receive or store full payment credentials.
  • Professional advisers or authorities when required by law or to resolve disputes.
  • A successor entity if KhelTech Systems or BookPlay is involved in a merger, acquisition, or similar transaction.

6. Analytics and cookies

The marketing website uses Google Analytics to understand traffic and improve the site. Google may set cookies or similar identifiers. You can block cookies in your browser; some measurement may then be limited.

The BookPlay application uses cookies or similar storage that are necessary to keep you signed in and to keep the product working.

7. Retention

Enquiry emails are kept as long as needed to follow up and for ordinary business records. Account and booking data is retained while the academy’s subscription is active and for a reasonable period afterwards so the academy can export data, after which we delete or anonymise it unless law requires a longer hold.

8. Security and international processing

We use reasonable technical and organisational measures to protect information. No internet service is completely secure. Data may be processed on servers in India or other countries where our providers operate.

9. Your choices

You may ask us to access, correct, or delete personal information we hold about you as a website visitor or academy contact, or to object to certain processing, by emailing hello@bookplay.in. Players should contact their academy first for data stored in that academy’s BookPlay account. We may need to verify the request and may decline where we must retain records or the request is unlawful.

10. Children

BookPlay is sold to sports academies, not marketed to children. If an academy collects information about minors (for example junior players), the academy is responsible for doing so lawfully, including parental involvement where required.

11. Changes

We may update this policy. The “Last updated” date at the top will change. Continued use of the site or product after an update means you accept the revised policy.
